Part Time Typist/Secretary

Job Purpose
The post holder will be required to undertake and provide secretarial and administrative support services to two businesses which operate in the same premises. The post holder will be based in attractive offices in the centre of Stalybridge.

Key Duties
• Providing secretarial support including typing reports, confidential word-processing using a variety of computer packages including copy and audio typing
• Prepare and edit correspondence/ reports
• To take accurate telephone messages and deal efficiently with enquiries by telephone and face-to-face
• To create and maintain databases in relation to the businesses
• Undertake duties as set down in office procedures
• Undertake financial duties as set down in accounting procedures/ using Sage
• Distribute documents as required
• Note meetings and transcribe information
• Maintain accurate time records as needed
• To open and deal with all postal correspondence
• To deal with e-mails
• To coordinate and organise meetings/ appointments/ diary management
• To ensure the efficient running of the office
• Undertake filing and file maintenance
• To order necessary stock and stationary requirements
• To comply with health and safety in accordance with local policies and procedures
• Maintain accurate time records
• Arranging travel and accommodation
• Credit Control, raising invoices, chasing debtors etc.

Systems and Equipment Used
• Microsoft Word for typing of letters and reports
• Microsoft Excel for general databases
• Microsoft PowerPoint for preparation of presentations
• Microsoft Outlook for sending and receiving e-mails and diary knowledge.

Knowledge, Training and Experience required
• RSA 2 typing/word-processing or equivalent
• Accurate typing skills, at least 50 words per minute
• 5 GCSEs including English
• Minimum 2 years’ experience in a secretarial/ administrative role
• Excellent interpersonal and organisational skills
• Ability to produce high quality and timely typing and minutes
• Ability to deal with confidential and privileged information with sensitivity and discretion
• Well-organised and self-motivated with ability to use own initiative
• Excellent written and oral communication skills
• Experience of using SAGE or another payroll type database
• Credit Control knowledge and experience

Hours of Work- 16-20 hours per week, flexi on how these are worked
£17,000 - £19,000 pro rata DOE
